This Privacy Policy explains how Xakriondghapin ("we", "us", "our"), a community walking club based in Auckland, New Zealand, collects and uses personal information through the website at xakriondghapin.world and through everyday club correspondence. We aim to handle information in line with the New Zealand Privacy Act 2020 and the principles of the General Data Protection Regulation where applicable.

1. Who we are

2. Information we collect

  • Contact form data — your name, email address and the content of your message.
  • Consent records — confirmation that you ticked the consent box and the time of submission.
  • Technical data — IP address, browser, device type and pages visited, collected by our hosting provider for security and basic statistics.
  • Cookies — small files described in our Cookies Policy that help the site work and remember your preferences.

3. How we use your information

We use the information you share to reply to your enquiry, schedule you into a suitable walk, manage gear orders, keep our website secure and improve the experience for future visitors. We do not use information to build advertising profiles, and we do not sell or rent your data.

4. Legal basis

We rely on your consent (when you submit the form) and our legitimate interest (in keeping our small website running safely) as the lawful bases for processing. You can withdraw consent at any time by writing to us — withdrawal does not affect processing already carried out.

5. Sharing your information

We share information only with the small group of volunteers who coordinate club enquiries, with our hosting and email providers under written confidentiality terms, and with public authorities when we are legally required. Your information is not shared with advertising networks.

6. International transfers

Some of our service providers operate servers outside New Zealand. Where this is the case, we work only with providers that offer recognised safeguards such as standard contractual clauses or equivalent data-protection commitments.

7. How long we keep information

Contact form submissions are kept for up to 24 months, after which they are deleted unless you have become an active member. Order records are kept for seven years to satisfy local tax and accounting rules. Website analytics are kept in aggregate form only.

8. Your rights

Subject to local law, you have the right to access the information we hold about you, request correction or deletion, object to certain processing, withdraw consent and lodge a complaint with the Office of the Privacy Commissioner of New Zealand.

9. Security

We use HTTPS encryption, restricted folders for form data, and limited-access mailboxes for volunteers. No online service can be guaranteed perfectly secure, but we work to keep risks low and to respond quickly if anything goes wrong.

10. Children

Our website is intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has shared information with us, please get in touch and we will remove it.
